Photo & Media Guidelines

These guidelines help keep Viventara Gatherings events and publications respectful and suitable for broad audiences, including advertising review standards.
1) Consent and expectations
- Ask before taking close-up photos or recording audio/video of someone.
- Respect any “no photos/recording” notices, venue rules, and staff instructions.
- If a participant declines being photographed, do not photograph them and do not publish images that clearly identify them.
- Minors: do not photograph or record minors for publication without permission from a parent or legal guardian.
- In public areas of an event, general crowd shots may occur; we will avoid identifying individuals who have opted out when reasonably possible.
2) Prohibited or restricted content
- No nudity, implied nudity, sexually suggestive posing, or sexually explicit content.
- No harassment, bullying, hate content, threats, or targeting of protected characteristics.
- No depiction of illegal activity, self-harm, or instructions to do harm.
- No “doxxing” or sensitive personal data (e.g., home address, personal phone, IDs, private medical info, financial account details).
- No invasive recording in private areas (restrooms, changing areas) or where privacy is expected.
3) Using photos in reports and marketing
- We aim to use respectful, context-accurate images and captions.
- We do not edit images to misrepresent an individual or an event.
- Third-party trademarks, artwork, or music may require permission from the rights holder before publication.
4) How to request removal
If you appear in our published photo/video and want it removed, email contact@domain.com with: (1) a link or screenshot, (2) where it appeared, (3) your name and contact info, and (4) the reason for removal. We typically respond within 10 business days. If content was shared by third parties, we can remove it from our channels and may guide you on requesting removal elsewhere, but we cannot guarantee third-party deletion.
