Event Cancellation & Refunds

This policy explains what your purchase includes, applicable fees, and how cancellations, reschedules, refunds, and credits work for events offered by Viventara Gatherings in the United States.
What your purchase includes
- Admission to the event at the date/time and location shown at checkout (or in your confirmation).
- Any included items (e.g., meals, beverages, materials) only if explicitly listed on the event page or ticket type.
- Optional add-ons (if offered) are billed separately and may have their own terms shown at checkout.
Pricing, taxes, and fees
- Prices are shown before you place your order. Sales tax (if applicable) and any processing or platform fees will be displayed at checkout.
- Processing/platform fees charged by third parties are generally non-refundable unless required by law or the third party’s terms provide otherwise.
- If a deposit is described as “non-refundable” at checkout, it will not be refunded if you cancel (unless required by law).
Attendee cancellations (standard rule)
- Cancel 7+ days before the scheduled start: refund of amounts paid to Viventara Gatherings for admission (excluding non-refundable deposits and non-refundable third-party fees, if any).
- Cancel 3–6 days before: 50% credit for admission (excluding non-refundable deposits/fees), usable toward a future Viventara Gatherings event within 12 months.
- Cancel within 72 hours or no-show: no refund or credit.
- If an event listing, ticket type, or written offer states different deadlines, that event-specific rule controls.
Reschedules, substitutions, and transfers
- If you can’t attend, you may request to transfer your ticket to another person up to 24 hours before start time (subject to capacity, check-in rules, and any age/ID requirements).
- We may allow a one-time reschedule into a comparable event when available; any price differences may apply.
If we cancel or materially change an event
- If Viventara Gatherings cancels an event, you will receive a refund for amounts paid to us for admission (or, at your option when offered, a credit).
- If we make a material change (date/time/location) and you cannot attend, you may request a refund under the same standard.
- We are not responsible for personal expenses such as travel, lodging, meals, or lost time.
Weather, safety, and force majeure
Events may be postponed, moved, or canceled due to circumstances beyond reasonable control (e.g., severe weather, venue issues, government orders, public health/safety concerns). When this occurs, we will provide notice when practicable and offer a refund or credit consistent with the situation and applicable law.
Refund method and timing
- Approved refunds are issued to the original payment method unless we agree otherwise.
- Processing typically takes 5–10 business days; your bank/payment provider may take additional time to post the credit.
- Credits are non-transferable unless stated otherwise and expire 12 months after issuance.
Third-party ticketing platforms, venues, and partners
If you purchase through a third-party ticketing platform, that platform’s terms (including fees and refund mechanics) may apply in addition to this policy. Venues and other partners may set entry/security rules (e.g., ID checks, prohibited items). We are not responsible for third-party acts or omissions, but we will help route you to the right party when possible.
