Add to Calendar: what happens when you click

Two common options: an .ics file download (works with Apple Calendar, Outlook, many others) or a Google Calendar link (opens an event draft in your browser).

    Back to calendar controls

    Option 1: Download .ics

    Most universal
    1. 1Your browser downloads an .ics file (a standard calendar event format).
    2. 2Opening the file prompts your calendar app to import or add the event.
    3. 3You can review details before saving—title, location, notes, and reminders.

    Good to know

    • Time zone: events are saved with a time zone; if you travel, your calendar may display the local equivalent.
    • Duplicates: importing the same .ics twice can create two events. If you re-download, delete the earlier one first.
    • Work accounts: some corporate devices restrict imports; try the Google link or copy details manually.

    Option 2: Google Calendar link

    Fastest for Google users

This opens a new tab with a pre-filled event draft. You’ll still click Save in Google Calendar to add it.

    What gets pre-filled

    Title
Event name (talk, exhibition, community evening)
    When
    Start/end time and date
    Where
Venue or online link (when provided)
    Notes
Short recap + source/context (when included)

    Troubleshooting

    • If you’re not signed in, Google may prompt you to log in first.
    • If the link opens a blank page, try allowing pop-ups for this site or use the .ics download instead.
    • Want reminders every week? Use our reminder setup instead of one-off calendar entries.

    Quick FAQ

Will this add an event automatically?

No. Both methods let you review the event first. You confirm by saving/importing.

    Can I edit after adding?

Yes—change reminders, notes, or location in your calendar app at any time.

    What if details change?

If an organizer updates time/location, your imported event won’t update automatically. Check the recap source and adjust your entry.
