Post-event analytics is where your next event gets funded (or fixed). The goal isn’t to collect every metric—it’s to track a small set of KPIs that map to clear decisions: what to repeat, what to change, and what to stop doing.
A practical KPI framework
For each KPI, define: (1) the decision it informs, (2) the formula, (3) the data source, (4) the reporting cadence, and (5) a target or benchmark. If you can’t name the decision, the metric is probably noise.
- Leading indicators (before/during): registrations, check-in pace, session capacity, message opens.
- Lagging outcomes (after): revenue per attendee, sponsor ROI, NPS, repeat intent.
- Operational reality: staffing ratios, wait times, incident count, no-show patterns.
Attendance KPIs (Who showed up, and why)
Attendance metrics should help you separate demand from delivery. Strong registrations with weak check-ins usually point to reminder strategy, day-of friction, or schedule fit—not a marketing problem.

How to use attendance KPIs in decision-making
- If show rate drops, compare reminder sends, calendar-add rate, and travel distance segments.
- If arrival spikes in a short window, stagger programming or open check-in earlier with more scanners.
- If utilization stays low, experiment with ticket scarcity signals, pricing tiers, or smaller rooms to improve energy.
Engagement KPIs (Did people participate?)
Engagement is easiest to measure when you define what “good participation” looks like for your format. A workshop, a trade show, and a community lecture will have different engagement signals.
Session engagement
- Session fill rate: attendees in session ÷ room capacity
- Avg. dwell time: median minutes attended per session
- Q&A participation: questions per 100 attendees
- Drop-off points: time markers where exits spike
Community engagement
- Networking actions: matches, messages, or scans per attendee
- Content saves: downloads/bookmarks per session
- Feedback rate: surveys completed ÷ attendees
- Return intent: “likely to attend again” share
Tip: don’t average everything. Medians and percentiles (p50/p75) often describe engagement better than a single mean.
Revenue KPIs (What paid for the event?)
Revenue reporting should connect cash flow to the attendee journey: acquisition → registration → attendance → on-site spend → retention. The clearest metrics are the ones that combine volume and value.
- Gross ticket revenue: tickets sold × price (track by tier and promo code).
- Net ticket revenue: gross − refunds − processing − platform fees.
- Revenue per attendee (RPA): net revenue ÷ checked-in attendees.
- Conversion rate: registrations ÷ landing page unique visitors (or qualified leads).
- Refund rate: refunded orders ÷ total orders (look for spikes after schedule changes).
Sponsor & partner ROI (keep it simple)
Sponsors care about outcomes, not your internal dashboards. Offer a short post-event summary with a few agreed metrics: qualified leads collected, booth visits, session attendance, and any tracked follow-ups.
- Cost per lead (CPL): sponsor fee ÷ qualified leads delivered
- Lead quality mix: % decision-makers, % target industries, % local
- Share of attention: sponsor session attendance ÷ total session attendance
Operational KPIs (Reduce friction next time)
Operational metrics are the fastest to improve because they’re mostly under your control. Start with the moments that create queues, confusion, or support requests.
Check-in throughput
Attendees checked in per staff member per 15 minutes; pair with peak arrival windows.
Support load
# of issues by type (ticket lookup, accessibility, refunds, schedule); fixes become next runbook updates.
Program punctuality
Sessions started on time ÷ total sessions; late starts cascade into lower satisfaction.
Accessibility completion
Requests fulfilled ÷ requests received; document gaps and vendor constraints early.
Survey & sentiment (Measure what numbers can’t)
Pair behavioral data with a short survey to capture “why.” Keep it brief (5–7 questions), and send within 24 hours while memory is fresh.
- Overall satisfaction (1–5) and likelihood to return.
- Top reason for attending (choose one): learning, networking, entertainment, community.
- One improvement (free text): categorize responses into 5–8 themes.

- Top 5 sessions by attendance and dwell time
- Engagement actions per attendee (your definition)

- NPS or satisfaction score + response rate
- Top 3 operational issues + fixes for next run
Common pitfalls (and how to avoid them)
- Counting “registrations” as “attendance”: always report both and keep them visibly separate.
- Ignoring segment differences: compare first-timers vs returning, local vs traveling, free vs paid tiers.
- No definition for “engaged”: choose 2–3 actions that matter and stick to them over time.
- Only reporting totals: include a trend line across events (even if you start with just 3).
